Outlook Not Syncing on Mac? Here’s How to Fix It

What Outlook sync problems usually look like
When Outlook is not syncing properly on a Mac, the issue usually shows up in a few familiar ways. New emails stop arriving, sent messages do not appear on other devices, calendar updates are missing, or shared mailboxes look out of date.
A simple check is to open Outlook in a web browser and compare it with what you see on your Mac. If everything looks correct in the browser but not on your Mac, the issue is usually with the Outlook app rather than your account.
Start with a simple restart
Before changing anything, restart your Mac.
It sounds basic, but it often resolves temporary sync issues caused by background processes, network changes, or apps getting stuck. Once your Mac restarts, open Outlook again and check whether syncing has resumed.
Check whether Outlook is offline
One of the most common causes is Outlook being set to work offline.
If Outlook is offline, it will stop sending and receiving new data. On the menu bar, check whether “Work Offline” is turned on and switch it off if needed.

Shared mailboxes and calendars
If your main mailbox is working but shared mailboxes or calendars are not updating, the issue may be specific to those connections.
These can depend on permissions, sync state, or how they were added. If the web version looks correct and the Mac version does not, resetting the account usually helps.
When search issues look like sync problems
Sometimes emails are there but cannot be found.
If Outlook search is not returning results, the issue may be related to indexing rather than syncing. This is a separate problem but often feels like messages are missing.
When to remove and re-add the account
If none of the steps above resolve the issue, removing and re-adding the account can help rebuild everything cleanly.
This is best done after trying simpler fixes first. For business accounts, it is also important to make sure the issue is not affecting multiple users before taking this step.
