OneDrive Filling Your Mac? How Files On-Demand Frees Local Space

OneDrive can fill a Mac when files and folders are kept offline. Use Files On-Demand to free local space without deleting the cloud copy.

If cloud space and Mac storage feel like the same thing, start with our guide to why a Mac can be full despite available cloud space.

It is also not a fix for missing, stuck or error-marked files. For that problem, use our guide to OneDrive not syncing on a Mac.

What the OneDrive icons mean

OneDrive files in Finder can be online-only, locally available or always available.

An online-only file shows a cloud status and does not hold its full contents on the Mac. It downloads when you open it, so it needs internet access.

A locally available file has been downloaded, often because you opened it. It can be used without internet, but it takes space on the Mac.

A file or folder marked Always keep on this device remains downloaded. This is useful for travel or unreliable internet, but a large folder can fill the drive quickly.

Find the folders using local space

Open Finder and choose OneDrive under Locations. Look for large folders with the always-available status.

Think about how the files are used. Current client work, travel documents and active projects may need to stay offline. Archives, completed jobs and old media normally do not.

If every folder was marked Always keep on this device, new files added inside those folders can also download automatically.

Make a file or folder online-only

First, let OneDrive finish syncing. Then Control-click a file or folder in Finder and choose Free up space.

The local copy is released and the item stays visible in Finder and in OneDrive online. Opening it again downloads it to the Mac.

Test this with one non-critical folder before changing a large library. Confirm you can still see the files in OneDrive on the web and that an online-only file opens when the Mac has internet access.

Free up space is not the same as Delete

Do not drag files to the Bin to save local space. Deleting a file from the OneDrive folder deletes it from OneDrive and from other synced devices as well.

Use Free up space when you want to keep the cloud file but remove the local copy. Use Delete only when you genuinely want the file removed from OneDrive.

Why space may not return immediately

Finder and System Settings can take time to recalculate storage. OneDrive may also be finishing uploads or downloads in the background.

Restart Finder or the Mac if the status icons have changed but the storage figure has not. Do not force-quit OneDrive while a large upload is still in progress.

Check OneDrive’s own settings

Files On-Demand is the normal OneDrive arrangement on current macOS versions. Its file choices are made per Mac, so a folder can be online-only on one Mac and kept offline on another.

If this is a business Mac, ask whether the organisation has set retention, backup or offline-access requirements before changing shared project folders. Making a local copy online-only does not remove it from the team, but it changes what is available when the internet is down.

Choose a sensible balance

For most people, keep active work and anything needed while travelling available offline. Make large archives and completed work online-only.

A desktop Mac with reliable internet can be more aggressive about online-only storage. A MacBook used on site may need more offline folders and therefore a larger local drive.
